I promised I would follow up with info on my claim, and I can finally do so. I meant to link to my original post but as the search function is temporarily disabled I'll just briefly reiterate the situation:

In June I was booked to fly to NY on the 14th. Unfortunately my grandmother passed away the week before so with less than 24 hours notice I moved my flight up by one week and flew out the morning of the 8th. At the airport I was charged a 40 fee and told to mail in my receipt with details and a copy of my grandmother's death certificate to get a refund.

I pdf'd the appropriate documents and e-mailed them to VS when I returned from my trip. They replied that they had trouble with one of the documents and asked me to resend, and when I did they acknowledged receipt & readability of the documents. This was on 4th July. Then I waited.

In the meantime I had to call VS Premier team for other things completely unrelated to this flight. Each time I asked about the status of my refund claim. The gentleman I spoke to in early September said he wasn't surprised I hadn't heard anything yet and to give it another couple of weeks. The woman I spoke to in early October gave me another number to call, but it was a Friday and the office I needed to speak with is only open Mn-Th. It was on my to-do list to follow up with that number, when my latest Amex bill arrived and there was the refund. It was credited to my card on the 24 Sept.

So for reference for anyone who needs to claim a similar type of refund, it took VS just over 2.5 months to process it, and there was never any correspondence indicating it was processed, so keep your eye on the credit card statement on which the fee was originally charged. Hope this helps.
